About the Role
GHD is seeking a skilled and experienced Executive Assistant to provide high-level administrative support to Executives from the Americas Leadership team.
This role requires a professional and expert administrative professional with experience in complex diary management, organization of travel itineraries, and internal and external meeting coordination.
The ideal candidate will have excellent verbal and written communication skills, a college diploma or university degree, and a minimum of 8 to 10 years' experience in a similar role.
Responsibilities
- Coordinate and manage international and domestic travel, arrange detailed travel plans and agendas for travel-related meetings.
- Manage scheduling, including calendars management, phone calls, meetings, and other company logistics.
- Support the production and coordination of quality documents, including meeting agendas, minutes, presentations, white papers, etc.
- Effectively coordinate and follow-through on the activities and commitments of the Executive member.
- Organise meetings and broader events as required, including attendee invites, room bookings, accommodation, catering, etc.
- Maintain a high level of confidentiality and discretion as required.
- Provide support to the Executive Leadership Team as required.
- Undertake any ad hoc tasks or projects required.
- Ensure expenses are processed timely and accurately.
- Provide EA back-up support to the Americas Leadership Team.
- Work in a fast-paced environment and navigate shifting priorities.
- Cultivate strong relationships with internal and external stakeholders to facilitate collaboration and achieve strategic objectives.
Qualifications
- Excellent verbal and written communication skills in English.
- College diploma or university degree.
- 8 to 10 years' demonstrable experience in a similar role.
- Previous project management experience.
- Understand the need for confidentiality when dealing with sensitive information and correspondence.
- Motivated self-starter with a strong work ethic and the ability to work under limited supervision.
- Very organized, with the ability to navigate shifting priorities. Strong time management and coordination skills.
- Sound judgement and an ability to effectively prioritize and juggle.
- Experience dealing with diary management and international travel arrangements.
- Experience planning and organizing meetings with strong attention to detail.
- Ability to work effectively at the leadership and executive level, gaining trust and confidence of others.
- Take pride in delivering high-quality work.
- Highly proficient with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams).
- Demonstrated ability to thrive in a collaborative team-based environment.
- Strong interpersonal skills and the ability to develop positive and lasting relationships with colleagues and clients.
