**Estructura Organizacional**

El **_Executive Office Assistant_** reportará directamente al Gerente General y Hotel Manager (oficina ejecutiva). No existiendo puestos funcionales que reporten al Asistente Administrativo Ejecutivo.

Deberes y **Responsabilidades**:

- Promover la filosofía y la cultura de la empresa mediante el ejercicio diario de Pilares de calidad de servicio, para garantizar la satisfacción de los huéspedes.
- Brindar apoyo administrativo al Gerente General y al Hotel Manager, incluida la generación de correspondencia, el mantenimiento/organización del sistema de archivo, apoyo en trámites personales y la actualización de la lista de contactos comerciales, etc.
- Hacer seguimiento diario de todos los eventos y/o reuniones para el Gerente General.
- Generar tarjetas de bienvenida diarias para todos los invitados VIP que ingresan al hotel y soliciten servicios (en caso de ser necesario).
- Procesar todas las reservas VIP generadas por el Gerente General/Hotel Manager y hacer un seguimiento con el número de confirmación designado.
- Atender los comentarios de clientes publicados en plataformas digitales, investigando la causa en caso de ser necesario, generando las respuestas y proponiendo las respectivas compensaciones cuando la situación amerite.
- Revisar diariamente los Glitch y en conjunto con los responsables de área (o asesor correspondiente), preparar respuestas para los clientes.
- Investigar comentarios/reclamos de los huéspedes en casa, y hacer seguimiento con correos o cartas de disculpa adecuada, según lo dicte el Gerente General u Hotel Manager, dentro de las 24 horas.
- Registrar actas de reuniones EXCO y distribuirlas, en caso de ser necesario. Si se requiere, debe ir presencialmente a la reunión y generar el acta.
- Comprar suministros generales de oficina para la Oficina Ejecutiva (es decir, tóner para fotocopiadoras y faxes, papel, café, tazas, etc.).
- Comprar útiles de oficina requeridos por Gerente General, Hotel Manager y Asistente Administrativo Ejecutivo.
- Gestionar correspondencia interna relacionada con la oficina ejecutiva.
- Mantener enlace con las Oficinas Ejecutivas de otros Hoteles Mandarin para reservas/disponibilidad y seguimiento.
- Preparar cronograma de viajes del Gerente General y la Gerencia del Hotel para viajes de negocios.
- Generar certificados de regalo para hoteles, restaurantes y ocasionalmente spa, para organizaciones benéficas, eventos promocionales y/o intercambio con otros hoteles según lo autorice el Gerente General y Hotel Manager.
- Registrar los certificados de regalo producidos en el sistema y archivarlos numéricamente en carpetas.
- Procesar las reservas de certificados de regalo que llamen los invitados y haga un seguimiento con el número de confirmación.
- Controlar correcto procedimiento de plan de compensados.
- Preparar y exponer las presentaciones mensuales de calidad de servicio.
- Apoyar actividades de entrenamiento de calidad de servicio de todas las áreas del Hotel.
