Office Assistant

The Office Assistant role involves reporting to the Regional Programme Leader, RLC and making independent decisions on work priorities. The position requires providing guidance to other office support staff and collaborating with colleagues to deliver office- and management support services.
Key Functions/Results:- Manage supervisor's calendar, arrange appointments, and handle telephone calls and correspondence.
- Coordinate office support services for various activities, meetings, and projects.
- Review, process, and respond to incoming mail and correspondence.
- Perform administrative tasks such as contract extensions, budget preparation, and staff coordination.
- Research and organize information for reports and speeches.
- Establish filing systems, review office procedures, and suggest improvements.
- Lead other office support staff, prioritize tasks, and provide training.
- The incumbent's role directly influences the smooth functioning of the Office and supports the achievement of organizational goals.
Minimum Requirements:
- Education: Secondary School Education.
- Four years of relevant experience in office/management support work.
- Proficient in Spanish and intermediate in English.
- Knowledgeable in MS Office applications and office technology.
- Must be a national of the duty station country or have a valid visa/work permit and reside nearby.
- Good understanding of communication standards and financial/travel/human resources systems.
- Knowledgeable about administrative procedures and policies.
