After-school Activities Assistant Coordinator

We are looking to hire someone for the position of **After-School Activities Assistant Coordinator**
for the 2025-2026 school year according to the following skills and qualifications:
**Position Details**

Position Name: After-School Activities Assistant Coordinator
Reports to: Director of Student Activities & Athletics
Time commitment: 25 hours per week

**Job Summary**
The After School Activities (ASA) Assistant Coordinator supports the planning, organizing, and
execution of all aspects of the school’s ASA program for Early Years, Elementary, and Middle School
students. This role works closely with the ASA Coordinators to ensure the daily operations run
smoothly and efficiently, from logistics and materials management to communication with
flexible, and passionate about creating a safe and engaging student environment.

**Preferred Qualifications and Experiences**
- Bachelor’s Degree: Preferred
- Previous experience in school settings, teaching, student supervision, or program
- coordination: Preferred
- Bilingual in English and Spanish (spoken and written): Required
- Familiarity with ASA platforms such as SchoolsBuddy: Preferred
- Strong interpersonal skills and a passion for working with children: Essential

**Main Duties and Responsibilities**

**Program Operations & Student Supervision**
- Set up the ASA meeting point at 2:00 PM each day.
- Supervise the ASA meeting point from 2:20pm until all groups have vacated the venue.
- Supervise and assist students in the ASA waiting area at 4:00 PM (PK-Grade 5), coordinating
- with the transportation office and drivers to ensure smooth transitions.
- Support instructors during daily activities, including helping with early pickups, student
- injuries, transitions, and general supervision.
- Take photos and assist with monitoring daily activities to support communication and

documentation.

**Materials & Facility Management**
- Maintain organization in the ASA storage room and oversee the inventory of all program

materials.
- Assign and track sports equipment provided to ASA instructors as needed.
- Manage purchases and reimbursements for materials, with prior approval from ASA

Coordinators.

**Instructor & Staff Support**
- Assist with onboarding instructors, including adding them to internal platforms such as

SchoolsBuddy.
- Track and verify teachers' attendance.
- Distribute and manage staff credentials (badges) for ASA personnel.
- Providing supervision and support for activity instructors.

**Administrative & Communication Support**
- Respond to parent inquiries professionally in both English and Spanish.
- Assist the ASA Coordinator with administrative tasks as assigned, including scheduling, data
- entry, and material preparation.
- Help track and submit supply requests, instructor feedback.

**Special Events & Meetings**
- Attend the ASA in-service retreat on the first Saturday prior to the beginning of the semester

of activities, from 9:00 AM to 12:30 PM (breakfast and lunch provided).
- Support the execution of the Open House and ASA Fest.

**Key Competencies**
- Highly organized with attention to detail
- Strong verbal and written communication skills in English and Spanish.
- Proficient in Google Suite, Excel, and platforms like SchoolsBuddy.
- Team player with a positive attitude and flexible mindset.
