Executive Assistant to Real Estate Operations Manager

About the RoleWe are seeking a highly skilled and proactive Executive Assistant to support our real estate operations. This role will primarily focus on maintaining efficient back-office functions essential to our real estate investment/agency operations.
Duties and Responsibilities- CRM Management: Ensure our CRM system is updated and organized with accurate data, enabling seamless communication and data analysis.
- KPI Analysis: Regularly update and analyze Key Performance Indicators (KPIs) and prepare detailed reports for management review, providing valuable insights into operational performance.
- Communication Coordination: Manage communication channels, including emails, Slack, and phone systems, to ensure timely and efficient responses to client inquiries and internal communications.
- List Building & Skip Tracing: Assist in building and maintaining contact lists and perform skip tracing activities as needed, ensuring accurate and up-to-date contact information.
- Miscellaneous Tasks: Handle ad-hoc tasks that arise to support various operational needs, demonstrating flexibility and adaptability in a fast-paced environment.
- Client Interaction: Manage client interactions via email and phone, ensuring prompt responses and professional engagement, fostering strong relationships with clients and stakeholders.
- Process Documentation: Develop and document Standard Operating Procedures (SOPs) for tasks such as CRM management and client follow-ups, promoting efficiency and consistency across the team.
- Meeting Coordination: Assist in coordinating meetings, ensuring efficient formats and agendas are in place, supporting effective collaboration and decision-making.
- Data Management: Support in gathering and analyzing KPI data and preparing management reports, providing actionable insights to inform business decisions.
- Technology Utilization: Utilize and potentially train on software tools like HubSpot, Asana, and others to streamline operations and improve productivity.
- Proven Experience: Proven experience as an Executive Assistant, Administrative Assistant, or similar role, demonstrating expertise in administration and operations support.
- Familiarity with Real Estate Operations: Familiarity with real estate operations, CRM systems, and data management, showcasing understanding of industry-specific challenges and opportunities.
- Strong Organizational Skills: Strong organizational skills with the ability to prioritize tasks and meet deadlines, ensuring efficient task management and time allocation.
- Excellent Communication Skills: Excellent communication skills (written and verbal), facilitating clear and concise communication with clients, stakeholders, and team members.
- Proficiency in Productivity Tools: Proficiency in using productivity tools such as Microsoft Office, Google Workspace, and CRM software, enhancing work efficiency and accuracy.
- Independent Work Style: Ability to work independently with minimal supervision, demonstrating self-motivation and discipline in completing tasks and achieving goals.
$60,000 - $80,000 per annum, depending on location and experience, reflecting the value and expertise required for this critical role.
