**Overview of the role**

The main emphasis of the role is to provide comprehensive Office administrative support, through working closely with the Country Manager, IT, Finance and HR. Euromonitor International is looking for an experienced Office Manager with ideally Finance and/or HR experience for our office in Santiago. You will be highly organized, approachable, self-motivated with excellent attention to detail. You’ll need excellent communication and interpersonal skills, as the ability to build relationships with multiple stakeholders globally will be the key to your success.

**Specific responsibilities**:
**Human Resources**
- Implement Global and Local HR policies and procedures, ensuring they comply with local employment law and best practice
- Update and maintain HR policies as necessary
- Take up references for new starters
- Carry out end of probation meetings with all staff
- Conduct exit interviews
- Issue change of terms letters as required
- Schedule staff training and liaise with trainers
- Ensure all staff undertake necessary training and keep records of this
- Manage the Day 1 HR induction for new starters
- Ensure performance reviews are undertaken, documented and stored on the HR System
- Employment contracts and other documentation are managed efficiently
- Maintain HR records, including the information held on personnel files and the HR system records
- Management and administration of Employee Benefits.
- First point of contact for people issues including any policy, benefit or payroll queries - escalating where necessary.
- Attend 1st line interviews where appropriate

**Office Management**
- Maintain a professional office environment and organise procurement and maintenance of all office equipment and supplies.
- Ownership of all Health & Safety, including appropriate provision of firewardens and first aiders
- Coordinate with IT on all office equipment.
- Source most cost effective and ethically sound suppliers for all office needs
- Liaise with facility and travel management vendors, including cleaning, catering and security services
- Organise office social gatherings as required
- Manage all incoming and outgoing post and deliveries
- Maintain the Insurance certificates, renewing policies in a timely manner
- Coordinate office CSR and DEI activities
- Supervise Office Cleaner

**Finance / Payroll**
- Processing of supplier invoices onto the accounting systems ensuring correct coding ready for payment
- Keep office petty cash records up-to-date and accurate
- Setting up of payments in a timely manner on banking platform for approval by the London Finance team
- Ensure correct monthly and weekly reporting requirements to the Head Office are met.
- Review all employee expenses in line with expense policy and ensure prompt payment
- Liaise with our payroll provider to ensure monthly payroll is correct, paid on time and any queries dealt with
- Complete office Payroll Tax obligations, including monthly filing of Payroll Taxes
- Complete all required administration for statutory payroll deductions and payments to the correct authorities
- Weekly bank reconciliations reporting to the London Finance team
- Ensure reconciliations are in place between the statutory accounts filed locally and the Euromonitor Groups accounts.
- Update London finance team on any outstanding costs for the month due to suppliers not sending invoices
- Work with the London Finance team to ensure appropriate transfer pricing documentation and correct accounting for this.
- Day to day banking relationship to ensure payments are made seamlessly and charges accurate
- Liaise with local advisors to ensure compliance with local tax reporting and payments as well as any statutory filing
- Keep close control of costs related to trips, travel expenses, and other office’s assigned budgets.
- Acting as a local contact to the Chilean bank when necessary
- Providing daily (where applicable) updates of monies received from Chilean clients/customers to credit controllers and Finance based in London.
