The Service Administrator is the entry level job in the Service Administration job family. They operate in low to medium complexity environments and are usually assigned to client accounts. The individual demonstrates an understanding of the vendor and services management environment and stakeholder interests.
The primary responsibility of the Service Administrator is to ensure that all service delivery that are ready for renewal are quoted accurately and that new orders are captured in the relevant service administration database.

**Administrative support**
The individual, under the guidance of the Service Administration Manager provides a complete Service Administration function and supports the activities relating to Service Delivery. They display good engagement skills and work with a variety of internal teams to ensure the successful execution of their daily activities.
They assist with quote to order processes, basic system support, filing and general administrative functions. These activities will include, but is not limited to:
Quote to order process - they support relevant teams and ensure the production and completion of the quote to order process for existing and new clients in line with service level agreements. This includes quoting and placing service requests for support contracts and providing order status updates to the Sales team. They ensure the completion of the quote to order process in support of the efforts of the sales teams and enter the relevant data into the related data systems. They receive and process all orders received for Service Delivery and assist the Vendor Management team by raising the purchasing activities to enable the procurement of third party support. These individuals provide renewal quotations and process and administer sales orders and general sales related documentation through reconciling, receiving, labelling, sorting, filing, requesting quotations, raising service requests and distributing these as required.
Pre-sales support - The Service Administrator assists with the co-ordination of renewal pricing proposals which may require the preparation of pricing at times. They assist with the management of vendor costs in conjunction with their commercial colleagues and ensure access to vendor pricing.
System support - For basic system support, they capture, update and maintain the related database and systems as required by the sales process, ensuring complete data accuracy. They assist in keeping information on all relevant systems up to date. This individual maintains a good understanding of the relevant systems and portals.
Post-sales support - these individuals ensure the provision of consultative support once a service delivery deal has been completed by the sales team and use their technical knowledge of the products and services sold by Dimension Data and vendors to enable this support. They ensure that the queries escalated by Sales Teams regarding service delivery are adequately addressed, enabling client retention.
Query management - they display good client engagement skills and respond to incoming calls, dealing with invoicing and billing queries, including less complex queries relating to maintenance services.
General administration - The Service Administrator assists with the compilation and distribution of the relevant reports, maintains vendor records and ensures its accuracy. They are responsible for all administrative duties required by the teams they support.

The Service Administrator provides efficient administrative support with limited guidance. They demonstrate good administrative ability whilst being able to balance this with good client service orientation. They display an understanding of the business needs and expectations and the ability to consistently deliver a quality service through offering the required support. They are reliable and are able to produce a high quality of work. They have good verbal and written communication skills that are presentable and display the ability to work with a variety of internal stakeholders.
