BAT CHILE IS LOOKING FOR A MARKETING ASSISTANT

ROLE POSITIONING AND OBJECTIVES
This role is part of Marketing department.

The role is responsible for:

efficiently managing a wide range of administrative tasks and providing essential support to ensure the smooth and effective operation of the office or organization.

Secretaries are the first point of contact for the organization, responsible for answering phone calls, welcoming visitors, and managing correspondence, both physical and electronic.

Additionally, they play a crucial role in calendar management, document organization, administrative assistance, and logistics coordination, including business travel planning.

The ability to multitask, attention to detail, and adaptability are key traits for success in this role, and secretaries play an essential role in overall workplace efficiency and productivity.

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Answering Calls and

Public Relations:
Answering and directing phone calls, receiving visitors, and providing basic information about the company or organization.

  • Scheduling and

Calendar Management:
Managing the schedule of the executive or team, scheduling meetings, appointments, and events, and reminding of important dates.

  • Document Organization: Filing and keeping documents and records organized, both in physical and digital formats, and ensuring they are accessible when needed.
  • Document Writing and Editing: Preparing reports, presentations, memos, and other documents, and reviewing them for grammatical and spelling accuracy.
  • Travel and

Logistics Coordination:
Booking flights, hotels, and transportation, and ensuring that travel arrangements run smoothly.

  • Administrative Support: Assisting with administrative tasks such as budget preparation, expense management, and basic financial reporting.
  • Office Supplies Management: Placing orders for office supplies and maintaining an adequate inventory.
  • Meeting Coordination: Scheduling and preparing meeting rooms, managing meeting logistics, and taking notes if necessary.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Minimum 2 years of experience in secretarial or administrative positions.
  • Flexibility to adapt to a fastpaced and dynamic work environment.
  • Confidentiality: Maintaining the confidentiality of sensitive company information and protecting it appropriately.
  • Multitasking: Being able to multitask and prioritize tasks effectively to meet changing job demands.
  • Communication: Having effective verbal and written communication skills and being able to interact professionally with clients, suppliers, and colleagues.
  • Organization and Attention to Detail: Being organized, meticulous, and capable of keeping track of important details.
  • Adaptability: Being able to adapt to the changing needs of the company and learn new skills as required.
  • Fluent Spanish and English.
  • University degree in Bilingual Secretary or degree in Administration.
