- Summary:

- The Contracts Administrator is responsible for reviewing construction contracts and managing the billing process. This role will ensure contracts are complicit with the terms and all contracts abide by local and federal laws.

Essential Functions:
- Review construction contracts for billing instructions and special conditions to ensure compliance with orders.-
- Responsible for collecting and providing appropriate documentation - such as insurance certification, prevailing wage labor reports, and lien releases.-
- Prepares progress invoices, monitors system invoices, and maintains billing files.-
- Create an invoice for each draw directly from the project estimate.-
- Coordinate with Project Managers, Accounts Receivable, and Purchasing to make any necessary adjustments to invoices, such as change orders, stored materials invoices, and retention adjustments.-
- Analyze retainage and unbilled retainage; compare compensation against contract amounts.-
- Manage billing reconciliation and report on contract status.-
- Maintain and review the billing log as necessary.-
- Enroll and manage OCIP programs.-
- Manage Certificate of Insurance program for Independent Contractors and General Contractors.-
- Investigate and resolve billing issues to ensure projects are billed and payment is collected within the appropriate timeframe.-
- Other job duties as assigned.- Skills and Qualifications:
- High school diploma or general education degree (GED)-
- Minimum of two years related experience and/or training; or equivalent combination of education and experience-
- Interpersonal skills to develop and maintain professional working relationships with builders, vendors, subordinates, and co-workers-
- Communicate effectively with customers, co-workers, and supervisors in a professional and courteous manner-
- Proactively identify, analyze, address, and resolve problem areas, conflicts, and issues-
- Displays willingness to make decisions-
- Exhibits sound and accurate judgment, supports, and explains reasoning for decisions, includes appropriate people in decision-making process, and makes timely decisions-
- Strong organizational skills to ensure adequate tracking systems are utilized to maintain and track all required information associated with the ordering and production process-
- Working knowledge of internet, inventory, project management, spreadsheet and word process software and order processing systems.-
- Working knowledge of general and/or construction accounting principles.-
- General understanding of business practices, structures, and philosophies.-
- Knowledge of time and materials billing, progress billing, conditional waivers, and lien release processing.-
