**Description**:
**About the Role**:
As members of our project management team, project specialists support the in-house editing and design department’s (known as “R&A Studio”) workload, including scoping, planning, and assigning projects for production, balancing against business priorities and other related duties. We are looking for a self-driven, detail-oriented, and deadline-focused individual who can oversee a high volume of projects, communicate professionally with internal stakeholders, and manage work across multiple content management systems and communication platforms. As a project specialist, you will manage project intake, working with internal research staff to ensure project managers, editors, and designers have everything they need to produce materials on time and at the highest quality standards, adhering to the Gartner brand.

**What You Will Do**:
**Project Management**
- Act as the main point person for internal clients on new projects, ensuring all required information/files have been obtained (and seeking them out from appropriate partners when missing), negotiating priorities and expectations, and managing stakeholders toward deadlines.
- Manage a high volume of projects simultaneously while weighing the importance of specific jobs and prioritizing accordingly, maintaining high levels of personal productivity and keeping the team aware of changes and concerns.
- Manage department resources (e.g., editor/designer capacity) in a fair and balanced way across teams and time zones, using provided tools and systems.
- Maintain deep knowledge and understanding of all steps required in research production processes.

**Client Service and Communication**
- Maintain internal client satisfaction through effective project management and strong commitment to service.
- Communicate professionally (written and verbal) during stressful situations, resolving problems accurately, effectively, and positively.
- Passionately serve internal clients, developing and maintaining strong relationships with them and your peers.
- Resolve complex project issues with a collaborative, solution-oriented approach.
- Facilitate communication globally with internal research teams and editing, design, and project management peers to meet daily deliverables, always with a sense of urgency and across appropriate platforms.

**Other Responsibilities**
- Work collaboratively with team members to meet client needs and business objectives.
- Provide floating support for teammates on various projects as needed.
- Provide timely project tracking and department reporting information through daily administrative tasks.
- Remain agile to evolving processes by attending trainings, using self-serve resources, and adapting your approach accordingly.
- Related duties as assigned.

**What You Will Need**:

- 5+ years project management experience in a fast-paced environment, such as a creative/marketing team, advertising agency, newsroom, or other in-house support group
- Background in graphic design, editing, or publishing preferred but not required
- Experience working in account management or traffic coordination preferred but not required
- Flexible, empathetic, adaptable, agile, and team-oriented
- Excellent collaboration, verbal communication, problem-solving, and writing skills
- Exceptional organizational, planning, and time-management skills
- Extremely detail-oriented, responsive, accurate, and self-disciplined
- Proven track record independently managing multiple tasks and high volumes with often-changing requirements
- Expertise working in Google Workspace (Google Docs, Sheets, and Drive) and MS Suite (Outlook, Teams)
- Experience with a content management system and/or project management system (e.g., ClickUp, Wrike, Asana, Monday, Smartsheet) strongly preferred
- Desire and ability to learn new tools, technologies, and business processes
