Key Responsibilities

• Schedule Appointments: Contact prospective and existing patients via phone, email, or online platforms to schedule appointments.
• Patient Communication: Provide clear and accurate information regarding services, office hours, and appointment availability.
• Follow-Up & Confirmation: Confirm, reschedule, and follow up on appointments to minimize cancellations and no-shows.
• Record Management: Maintain accurate records of patient interactions and appointment details in the scheduling system.
• Customer Service: Ensure a positive experience for all patients by providing professional and courteous service.
• Coordination: Collaborate with the front desk and medical team to manage and optimize appointment schedules.
• Outbound Calls: Proactively reach out to patients needing follow-up scheduling.
• Administrative Support: Handle basic administrative tasks related to appointment setting and patient intake.

Requirements

• Experience: Previous experience in appointment setting, customer service, or a related role preferred.
• Language Proficiency: Fluent in English and Spanish (native or near-native English proficiency required).
• Technical Skills: Familiarity with Epic or similar scheduling/CRM systems is a plus.
• Communication: Strong verbal and written communication skills with a professional and patient-focused approach.
• Organization: Detail-oriented with excellent time management and organizational skills.
• Call Handling: Comfortable making and receiving calls throughout the workday.
• Problem-Solving: Ability to manage scheduling conflicts and patient inquiries efficiently.
