Company: Zelestra Location: Santiago, Chile Mission: The mission of the CEO Executive Assistant will be to support the management of the General Management's schedule for Zelestra LATAM and to assume the role of receptionist for our offices in Santiago, Chile, coordinating administrative and customer service tasks. Responsibilities:
Reception:
  • Assist in handling requests from Building Administration and Suppliers under their management, redirecting them as necessary.
  • Document management, filing, and digitization of information (including correspondence).
  • Manage the invoice reception platform and support other accounting functions.
  • Entry and review of supplier invoices and receipts (in the accounting platform and SII).
  • Preparation and submission of fixed payment requests.
  • Management of Purchase Orders (PO) and Service Entry Sheets (SES) in SAP, following corporate and LATAM guidelines.
  • Perform reception duties and access management (visitor assistance, telephone service, invitation management for Zelestra, access control, and credential creation), ensuring the system remains active and up to date.
  • Control the platform and oversee the dispatch of documents and/or packages via Chilexpress or other courier services (preparing them for office delivery).
  • Coordinate with external couriers for administrative tasks such as processing documents, shipments, and other logistical needs.
  • Manage information received through the supplier email inbox.
CEO Assistance:
  • Proactively manage the CEO's schedule, prioritizing and coordinating with the local team and other offices.
  • Book flights, hotels, and car rentals for the CEO, ensuring all documentation is properly scheduled.
  • Real-time coordination of travel logistics.
  • Ensure compliance with and communicate travel policies within LATAM.
  • Act as a key liaison with Corporate SLT assistants and external contacts.
  • Expense reporting and reimbursements.
  • Other administrative tasks supporting the CEO and the LATAM SLT.
Job Requirements:
  • Degree in Bilingual Secretarial Studies, Executive Assistance, Translation, or a related field.
  • At least 10 years of experience in Executive Assistant and Reception roles.
  • Preferably, experience working in multinational environments.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • User-level experience in SAP (Ariba, Concur, and others).
  • Native Spanish and advanced English (mandatory).
