Description:
We are looking for a Document Controls Engineer that will be responsible for the correct and accurate storage, retrieval and communication of all engineering technical records and documentation within the site registry.
Key Responsibilities:
- Responsible for the accurate storage and retrieval of all engineering technical records and GMP forms, certificates, and paper records.
- Manage the engineering registry to allow accurate and easy retrieval of information for the engineering and capital project team.
- Ability to locate information in a timely manner and accurately is a key function of the role.
- Manage a site electronic document management system.
- Reproduction of information into both printed and electronic format for communication to the engineering team, site team or third-party contractors.
- Issue all transmittals to 3rd parties.
- Receive and collect all project correspondence and communication from contractors and vendors to the Engineering and Capital Project Teams.
- Manage the project-related documentation to ensure proper version control in the document management system. Ensure project documentation is compliant with company policy, including format, receipt, registration, number, filing, recovery, and the issue of documents.
- Assist the project team in the preparation of the project document list, updates and issues the document list as well as progress reports periodically.
- Set up the document management system and document controls process in conjunction with the project team.
- Project execution and control Codes issued documents, ensures that reviews, numbering, distribution, filing, and registration follow procedures.
- Monitor the progress of the project documentation, updates the receipt and document distribution information register. Communicate deadlines to the project team for document delivery.
- Monitor and report actual versus planned time for document management work.
- Prepare the project lessons learned documentation jointly with the project team, either at project close-out or periodically throughout the project.
- Effectively communicate with stakeholders to know the accreditation processes.
- Estimate times for each accreditation process and submit accreditation folders to the client in a timely manner.
- Perform additional duties as assigned.
Preferred Qualifications:
- Minimum of 3 years relevant experience handling engineering technical records and project information.
- Experience in establishing and maintaining print registry documentation.
- Ability to establish and manage an Electronic Document Management System (EDMS).
- Handle Microsoft Office Packages.
- Excellent communication and interpersonal skills.
- Analytic, proactive, strong computer skills.
- Interested in project management.
- A collaborative, solution-focused approach, with strong written and spoken communication skills.
