Responsibilities:

Program Assistant and Coordination:

  • Coordinate activities, resources and information
  • Build strong positive relationships while interacting with Program Management Office, clients, program and project staff as well as IT staff
  • Supporting the Program Management Office through all phases of the project management lifecycle
  • Assist with the coordination of the Program Management Office's schedules
  • Support with the development of Program Reporting
  • Preparing and updating programrelated tasks
  • Prepare draft meeting agendas for internal and client meetings as well as attend and take meeting minutes
  • Act as a point of contact, supporting program status communications and updating project timelines
  • Ensuring project files are current and up to date
  • Support information gathering for our Program Management Office
  • Aid with setting up new program and project documentation
  • Support the Program Manager and Program Team with miscellaneous activities

Requirements & Qualifications:

  • Minimum 2 years' related experience in a similar role within a project environment
  • Diploma in Business Administration or equivalent education considered an asset
  • Energetic, selfmotivated selfstarter with excellent interpersonal, written, and verbal communication skills
  • Exceptional organizational and time management skills with the ability to coordinate several highpriority deadlines simultaneously
  • Demonstrated ability to build, develop and maintain longlasting relationships
  • Exceptional ability to work collaboratively in a team environment as well as demonstrate a sense of initiative and ownership
  • An ability to think outside the box and thrive on new challenges along with strong attention to detail
  • Intermediate to advanced level proficiency with Word, Excel and PowerPoint
  • Document control experience will be considered an asset
  • Proficiency with MS Project and / or Primavera considered an asset
  • An understanding of project/program financials and accounting systems
